letters of rec, transcripts, etc

    I have applied to 3 master's programs, and as it gets down to crunch time, there are two more I am considering. How do all of you keep your letters rec and transcripts ready for this process? In every case, letters and transcripts were to be directly mailed from the sender- this means I have had to ask three people on three occasions to send the same letter for me, and with 4 undergrad transcripts, I have already mailed 12 transcript request forms this year. Quite frankly, I think I am going to be considered a pest if I keep it up.
    I think I have an idea to request letters (multiple copies) and transcripts in separate, sealed envelopes to hang onto and use as necessary. If I try this method, will this be an inappropriate way to submit letters and transcripts?
    Looking for ideas....

    No. I do this all the time. I order fix or six sealed transcripts, then I mail them directly to the school. This way I do not have to wait on other people. It is much more efficient.
